Delivery process and pick up

The manufacturing and delivery process for a Swedish ordinary passport/national ID card begins from when a complete application has been submitted to the place of application. This process cannot in any way be expedited.

When a passport/national ID card arrives at the Embassy of Sweden in Canberra, Australia, an automatically generated email or SMS is sent from the Swedish Police to the applicant as per the contact details that were provided at the time of application. This notification states that the document is ready to be collected at the Embassy. The delivery time is usually around 2-4 weeks from when a complete application has been submitted to the place of application. Please note that delays may occur.

When your passport/national ID card has arrived at the Embassy of Sweden in Canberra, Australia: 

  • If you on a previous occasion have notified the Embassy that you wish to collect the passport/ID card at one of Sweden's Honorary Consulates, no action is required at this stage. The passport/ID card will as soon as possible be forwarded from the Embassy to the pre-selected Honorary Consulate. When the passport/ID card arrives at the Honorary Consulate, the Consulate will notify you via email or telephone, and provide information regarding booking an appointment for your visit. 
  • If you wish to collect the passport/ID card at one of Sweden's Honorary Consulates, and you have not previously been in contact with the Embassy of Sweden in Canberra regarding this, ​​please contact the Embassy to indicate your preferred final delivery location.
  • If you wish to collect the passport/ID card at the Embassy of Sweden in Canberra, please contact the Embassy to book an appointment for your visit.

  

DELIVERY OF PASSPORT/NATIONAL ID CARD

If you are over 18, you must collect your own passport/national ID card in person, it can under no circumstances be collected by someone else.  

Passports/national ID cards for minors (children under 18) must be collected by a guardian with a valid ID document, and if possible the child should accompany. If it involves practical difficulties for the child to come along, the guardian may collect the document without the child. 

A passport/national ID card is normally held at the delivery location for three months. After this, a reminder is sent. A passport/ID card that has not been collected after three months is normally cancelled. Please note that if a document is cancelled, the application must be made again, meaning a new appointment must be booked and a new application fee paid. If you are not able to collect the passport/ID card in time, please contact the delivery location and advise that you wish to collect it later. 

Once a new passport has been obtained, any visas/residence permits linked to a previous passport must be transferred to the new one. 

Upon delivery of a Swedish passport/national ID card, the following is required:

  • The receipt you received at the time of application.
  • The previous passport/ID card should be presented, valid or expired, including any emergency passports. If a previously valid passport/ID card has been lost or stolen since the time of application, a police report must be made before the new one can be collected.
  • A valid ID document. If you do not have valid Swedish ID document, the Embassy of Sweden in Canberra accepts ID documents from Australia, New Zealand, and the Pacific States*. If you are collecting your own passport/ID card and do not have any valid ID document at all, an approved person must accompany you and certify your identity at the time of delivery.

  • If the passport/ID card is collected at another location than where the application was made, a delivery fee applies which is paid at the time of delivery. If more than one passport/ID card is collected, one delivery fee per document applies.

  • An applicant who electronically signed their name at the time of application must write a countersignature in the new passport/ID card. A minor applicant (child under the age of 18) who is not personally present upon delivery, can write the countersignature at the earliest possible time.
